Parent Notification Letters

Parent / Guardian Notification Letters

Local Educational Agencies (LEAs), or school districts, have an obligation to ensure meaningful communication with all parents and guardians, regardless of language background. This includes information about any program, service, or activity of a school district of relevance to multilingual parents and caregivers. At the school and district levels, this essential information includes, but is not limited to, information regarding: 

  • language assistance programs (English language programs), 
  • special education and related services, 
  • Individual Education Program (IEP) meetings, 
  • academic progress reports, 
  • parent-teacher conferences, 
  • parent handbooks, 
  • gifted and talented programs and 
  • any other school and program choice options. 

The Oregon Department of Education (ODE) has created a series of parent and guardian notification letter templates. These letter templates have been translated into the most predominant languages spoken by multilingual families in Oregon. The templates have been crafted and approved by Title I-A and Title III Education Specialists. Districts may not change or revise the language in the letter templates. Each parent notification template can be downloaded and personalized by updating the highlighted fields and adding district letterhead. English versions of each letter can be referenced for field entry definitions, as needed.
