Requesting Health Analytics Data
The Office of Health Analytics provides data on behalf of OHA to support the triple aim of better health, better care, and lower costs.
Health Analytics data can be requested in different formats. For example:
-
Summary level or aggregate data: E.g., tables, counts, or other summarized data.
-
Standardized or public use datasets: Datasets with only select (pre-identified) data fields that exclude any identifiable information. Some data elements may be less granular to protect confidentiality (for example, dates may only include month, rather than exact dates).
-
Custom datasets: A data set containing specific data elements and formats to suit your specific research question.
Visit the Health Analytics
Data Profiles page to learn about the main data sources that can be requested.
- Medicaid administrative data (MMIS)
- OHA behavioral health data
- Oregon Health Insurance Survey (OHIS) data
- Mental Health Statistics Improvement Program (MHSIP) Survey data
- Consumer Assessment of Healthcare Providers and Systems (CAHPS) Survey data
A few data sources have program-specific request processes:
How quickly your request can be fulfilled depends on many factors, including the complexity and sensitivity of your request, and staff capacity. For example, standardized or public use datasets can be provided more quickly than custom datasets. Note: Requests for custom identifiable (“Limited”) APAC data can take 3-6 months to fulfill.
Most datasets are provided free of charge. Exceptions are APAC and Hospital and ED Discharge Data.
Data Review Committee. If your request involves Protected Health Information (PHI) or other identifiable information, it will need to be reviewed by OHA’s
Data Review Committee (DRC). The DRC meets monthly and may have follow-up questions about your request, so this means your request will take longer to process. The staff person who responds to your request will initiate this process if needed.
Datasets that may require DRC review (depending on the nature of your request): APAC, MMIS, Hospital and ED Discharge, MHSIP, CAHPS.
Data Use Agreement. If your request includes any potentially sensitive information, then you will need to sign a Data Use Agreement (DUA). The staff person who responds to your request will initiate this process if needed.
Small Numbers Suppression. To protect patient privacy and ensure data accuracy, data you receive may be suppressed according to the Health Analytics
Small Numbers Reporting Guidelines.
All Health Analytics data may be subject to a DUA and/or small numbers suppression.
Data users should appropriately cite the data source in any products (e.g., reports, presentations) that use Health Analytics data. Suggested citations for each data source can be found in our
Data Profiles. Extensive or complex data requests, particularly those that require statistical analysis, may warrant an acknowledgment of or co-authorship with the OHA analyst who is assisting you.
Users are also requested to share a copy of any final product(s) that are created from the data we share with you. Copies of final product(s) can be electronically sent to the analyst(s) who assisted you with the data request.
